Photo, Video & Recording Policy
Last updated: November 2026
1. Purpose
This Policy explains how Fidelity Speech and Voice Therapy, Inc. (“Fidelity”) handles photography, audio recording, and video recording (“Recordings”) at its workshops, trainings, presentations, and events (“Events”). It protects the privacy of participants, children, families, and school staff.
2. Children: written consent always required
Fidelity will never photograph, record, or publish the image, voice, name, or likeness of any child without prior written consent signed by the child’s parent or legal guardian. In addition: - No Recordings will be made of any child receiving speech-language services, and no Recordings will be made during any clinical session. - In school settings, no child or staff member will be recorded without (a) prior written authorization from the school or district as required by its policies, and (b) prior written consent from each parent or legal guardian and each staff member recorded. - Consent forms will state the specific purpose, where the Recording will be used, how long it will be kept, and how to withdraw consent. - A parent or guardian may withdraw consent at any time in writing. Withdrawal applies to future uses; Fidelity will make reasonable efforts to remove Recordings from materials under its control.
3. Adult participants at Fidelity Events
- Fidelity may record or photograph Events for educational, archival, and promotional purposes. We will announce this before the Event and at its start.
- Opt-out: adult attendees who do not wish to appear in Recordings may tell Fidelity staff at check-in or email info@fidelityspeech.com beforehand. We will make reasonable efforts to keep them out of published Recordings (for example, a designated no-photo seating area, or blurring and cropping).
- Release: by attending an Event after notice that it will be recorded, and not opting out, adult attendees grant Fidelity a non-exclusive, royalty-free, worldwide license to use Recordings in which they appear for educational and promotional purposes, without compensation. Fidelity will obtain a separate signed release before featuring any individual prominently (for example, in a testimonial or advertisement).
- Confidential conversations: Fidelity will not record any confidential conversation without the consent of all parties, as California law requires.
4. Recording by attendees
Attendees may not photograph, audio-record, video-record, livestream, or screen-capture any part of a Fidelity Event, including slides and materials, without Fidelity’s prior written permission. Event materials are protected by copyright and our Terms of Use.
5. Virtual Events
Virtual Events may be recorded. Fidelity will notify participants at the start of any recorded session. Participants who do not wish to be recorded may turn off their camera, use a display name of their choice, and use chat instead of audio. Recordings of virtual Events will not be shared beyond registered participants without notice.
6. Storage and use
Recordings are stored securely and used only for the purposes stated at the time of consent or notice. Recordings that include children are kept only as long as the signed consent allows.
